Terms of service
The agreement between AI Receptionist and the businesses that use AI Receptionist.
Last updated 25 October 2026.
1. The agreement
These terms apply when you create an account for, or use, AI Receptionist (the "service"), provided by AI Receptionist ("we", "us"). You accept them for the business you sign up ("you"), and you confirm you are allowed to do so. Our privacy policy and SMS terms are part of these terms.
2. The service
The service uses AI to answer your calls, texts and website chat, take messages, book appointments, transfer callers and do the other things you set it up to do. AI can make mistakes: it may misunderstand a caller or give an incomplete answer. You are responsible for the information you give it, for checking its work (transcripts, summaries and bookings are in your dashboard), and for decisions you make based on it. Do not rely on it as the only way to handle emergencies; it is not an emergency service and callers with an emergency should call 911.
3. Your account
Keep your sign-in details secure and tell us if you think someone else has used them. You are responsible for what happens under your account, including what your team members do.
4. Your responsibilities and the law
You are responsible for using the service lawfully, including:
- Call recording and transcription. The assistant can announce that calls may be recorded. You choose when it does, and you are responsible for any consent your callers' or your own location requires.
- Texting. Only text people who contacted you or otherwise agreed to hear from you, honour opt-outs (the service handles STOP automatically), and do not use the service for unsolicited marketing. You will cooperate with the phone-carrier registration needed for business texting (such as A2P 10DLC) and give accurate information for it.
- AI disclosure. The assistant says it is an AI. Do not configure it to claim to be human.
- Sensitive information. If you are subject to HIPAA or similar rules, do not use the service for protected information until we have agreed in writing on the terms that apply.
- Having the rights to the information, documents and connected accounts you give the service, and having a privacy policy that covers your callers.
You must not use the service to break the law, harass or deceive anyone, send spam, infringe others' rights, try to get around its limits or security, or overload or reverse-engineer it.
5. Your data
You own your data, including your callers' conversations. You let us use it only to provide, secure and support the service for you, as described in the privacy policy. We act as your service provider (processor) for your callers' information. You can export or delete it at any time; if you need a data processing agreement, ask us.
6. Plans, trials and payment
- Prices and what each plan includes are shown on our pricing page and at checkout. A free trial, where offered, has a time limit and a usage cap.
- Paid plans renew automatically each month or year until cancelled, and are charged in advance to your payment method through Stripe. Usage beyond your plan's included minutes or texts is charged at the plan's overage rates at the end of each month. Taxes are added where applicable.
- If a payment fails we will email you. After a grace period the service may stop answering calls (callers reach voicemail) until payment is made.
- You can cancel at any time in the dashboard; the service continues until the end of the period you have paid for. Except where the law requires otherwise, payments are not refundable.
- We may change prices with at least 30 days' notice by email; a change applies from your next renewal after the notice period.
7. Phone numbers
Numbers we provide are leased from our telephone carrier for your use while your account is active. When an account is closed, numbers may be released after a reasonable period. If you want to keep a number, ask us before closing your account and we will help you move it where the carrier allows.
8. Availability and changes
We work to keep the service running around the clock, but it depends on phone carriers, AI and cloud providers outside our control, and it may sometimes be unavailable. We may change or improve features; if we remove something material that you pay for, we will tell you in advance.
9. Suspension and ending
We may suspend or close an account that breaks these terms, puts others at risk, or is unpaid, and will tell you why where we can. You can close your account at any time. After closing, we delete your data within a reasonable period unless the law requires us to keep it.
10. Disclaimers
To the extent the law allows, the service is provided "as is" and "as available", without warranties of any kind, express or implied, including fitness for a particular purpose and non-infringement.
11. Limits on liability
To the extent the law allows, neither party is liable for indirect, incidental, special or consequential damages, or lost profits, revenue or data, and our total liability for any claim is limited to the amount you paid us in the 12 months before it arose. Nothing in these terms limits liability that cannot be limited by law.
12. Indemnity
You will defend and compensate us against third-party claims arising from your data, your use of the service in breach of these terms, or your breach of the law (for example recording-consent or texting rules).
13. General
These terms are governed by the laws of the state in which AI Receptionist is organised, without regard to its conflict-of-laws rules. If we change these terms we will post the new version here and, for material changes, email you in advance; continuing to use the service after that means you accept them. If any part is unenforceable, the rest still applies. These terms are the whole agreement between us about the service.
14. Contact
Use the contact form and the team will reply.
